Peaks are predictable, and still catch people short

Some demand arrives on a calendar: shipping peaks, open enrollment, hiring drives before a busy period, a new site opening. These are known in advance, and companies still find themselves short of trained people when the moment arrives. The problem is not surprise. It is the difficulty of finding capable people for a defined window.

The work in a peak is different from normal work. Volume is higher, tolerance for error is lower and there is little time to teach. A person who must be trained from scratch costs more attention than they give back.

Describe the peak itself: what rises, by how much in general terms, when it starts and what changes in the operation when it does.

The work by function

In distribution, a peak means more orders, more labor, tight inventory accuracy and pressure on systems. A warehouse leader must plan labor, shifts and safety, and keep the warehouse system reliable. In recruiting, a surge means many similar hires with a fast and fair process. In human resources, open enrollment demands accurate communication, system readiness and employee support.

In planning, a demand planner works with sales and operations to forecast the peak and align supply. The work is mostly done before the peak and adjusted during it.

A new site opening combines several of these at once and needs coordination across them.

Risks to manage

The first risk is hiring too late. People who start during the peak add little. The second is leaving safety and training behind. Fast ramps are when accidents occur. The third is system overload: a warehouse or enrollment system that works at normal volume may not at peak.

The fourth is quality: errors in orders, enrollments or hires produce costs after the peak ends. The fifth is exhaustion in the permanent team. Outside help should protect them, not just add more work to their list.

The sixth is the end of the window. Plan how the work winds down and what the outside person leaves behind.

Which role fits

An interim warehouse manager fits distribution and e-commerce peaks, new distribution centers and inventory accuracy problems. A contract high volume recruiter fits hiring ramps for many similar roles. A contract human resources generalist fits enrollment and employee support surges. A contract demand planner fits forecasting and alignment before and during a peak.

These roles can be combined. A new site may need a warehouse manager, a high volume recruiter and a planner.

If your peak depends on a specialist function not listed here, tell us. We may be able to find the right person.

How we screen

We ask each person about a previous peak: what they planned, what went wrong, what they changed during it and what they learned. We look for people who worked with real constraints and can explain their choices.

We check familiarity with your systems and your type of operation. A warehouse leader who has run a particular warehouse system will start faster. A recruiter with experience in your labor market will need less orientation.

We also look for steady temperament, since peaks are stressful.

Dependencies

Peak work depends on the rest of the business. Warehouses depend on purchasing for inbound goods and on carriers for outbound capacity. Recruiting depends on managers who interview promptly and on approvals for offers. Enrollment depends on benefits providers and on payroll. Planning depends on sales sharing real expectations.

It also depends on training time and on tools being ready before the peak begins. Setting up in the middle of a peak is expensive.

Tell us what is ready and what is not.

Mistakes in the brief

Common mistakes include describing a peak without dates or scale, asking for one person to cover several functions, and leaving training out of the plan. Another is ignoring the end of the window and the handover afterward.

Briefs also omit the systems in use and any safety rules. A candidate cannot plan without them.

Finally, be honest about what has gone wrong in earlier peaks. A person who knows the history can address it directly and will usually do better than one who learns by repeating it.

Also say what will happen to the person afterward. Some peak specialists are happy to leave when the window closes. Others hope for a longer relationship. Being open about the likely path, including whether a permanent role could ever follow, lets candidates choose honestly and avoids disappointment when the window ends.

Questions

How do we define the search scope for a peak?

We confirm your specific timeline, volume expectations and required operational experience. This ensures we identify people who can hit the ground running.

What is the fee structure for seasonal support?

You pay nothing unless you choose to hire someone we present. All billing terms are fully agreed upon before any engagement begins.

When do payment obligations start?

Payment terms only take effect after you engage an individual for your project. There are no charges for requesting candidates or conducting interviews.

What happens if we do not hire any candidates?

If you do not select any of the people we present, you owe no fees. We review why the profiles did not match your needs to adjust our strategy.

Can I hide my company identity during the search?

Yes, we maintain complete confidentiality until you are ready for a candidate to know your business. We discuss exactly what information can be shared before starting.

What replacement terms apply?

We offer a candidate replacement guarantee on standard search agreements. The applicable period and exact terms are set out in the signed client recruiting agreement.

How are recruiting fees agreed?

No upfront fee. You pay only if you engage someone we present. We scope the assignment before quoting; the fee page explains our model.

How soon can we see options?

Availability depends on the assignment and the people who fit it. We qualify interest and commitments rather than promising a shortlist date before the search is scoped.

What if the scope grows?

Discuss new responsibilities before adding them to the engagement. Agree the priorities and record any change to the brief and terms.

Can we extend an engagement?

Discuss what remains unfinished and whether the same responsibility is still needed. Extensions depend on the person's commitments and the agreed engagement terms.

Can the appointment become permanent?

A permanent move can be discussed if both sides want it. Review the future role and the applicable agreement instead of assuming that temporary coverage automatically converts.

How is a confidential search handled?

Tell us what can be disclosed and whom we must not contact. We agree those boundaries before approaching people; do not send sensitive records with an initial brief.

What are the replacement terms?

We offer a candidate replacement guarantee on standard search agreements. The applicable period and exact terms are set out in the signed client recruiting agreement.

What do you not do?

We do not sell job-board reposting as a search or bill hourly for recruiting work. We do not take a retainer unless expressly agreed, and an introduction does not authorize an engagement.
